Who we are

This Privacy Policy explains how LMS Collectives, LLC (doing business as LMS AI Consulting, LMS Travel Group, and LMS Media Group), based in North Carolina, collects, uses, and shares personal information when you visit lmscollectives.com (the "Site"), contact us, or buy from us. In this policy, "we," "us," and "our" mean LMS Collectives, LLC.

Our three business lines operate as one portfolio, so this single policy covers all of them. If you have a question about how your information is handled, email leeann@lmscollectives.com.

02

Information we collect

We collect only what we need to answer you and do the work. It falls into four groups.

  • Information you give us through the Site. The contact form asks for your name, email address, the service area you are interested in, and your message. The Automated CEO Checklist form asks for your first name and email address.
  • Information you give us through intake and booking tools. If you complete our AI Systems Build Intake Form (hosted by Tally) or book a call, we receive the details you enter, such as your name, email address, business name, the tools you use, your goals, and your budget range.
  • Information from our correspondence and paid work. If you email us, become a client, or buy a product, we keep that correspondence, your billing details, and the files and information you share so we can deliver the work.
  • Technical information collected automatically. Our hosting provider, Netlify, may log standard connection data such as your IP address, browser type, device type, and the pages requested. We do not currently run analytics, advertising pixels, or behavioral tracking on the Site.

Please do not send passwords, full payment card numbers, passport numbers, or other highly sensitive information through the Site's forms or by regular email. If we need access to one of your accounts, we will ask you to invite us as a collaborator instead of sharing a password.

03

How we use information

  • To reply to your inquiry and to schedule and prepare for calls.
  • To deliver the free resource you requested, and to send occasional emails from LeeAnn about our work if you have asked to hear from us.
  • To scope, price, deliver, and support the services you buy, and to invoice and collect payment.
  • To arrange travel on your behalf when you engage LMS Travel Group.
  • To run our business, including keeping records, preventing spam and abuse, securing the Site, and improving our services.
  • To meet legal, tax, and accounting obligations and to enforce our agreements.

We do not sell your personal information, and we do not use it for third-party advertising.

04

Who we share it with

We share information only with people and companies that help us run the business, or when you ask us to. They may only use it to provide their service to us.

ProviderWhat they do for us
NetlifyHosts the Site and receives and stores Site form submissions
TallyHosts our intake questionnaire
TidyCalHandles call booking
StripeProcesses card payments, invoices, and receipts for LMS AI Consulting and LMS Media Group services and for the LMS Travel Group consultation fee. Stripe collects and handles your card details, and we do not store them
Make.com and AirtableBusiness automation and the database where we track inquiries, projects, and clients
Google WorkspaceEmail, calendar, documents, and file storage
WorldVia and travel suppliersFor travel bookings only: our host agency and the hotels, airlines, and other suppliers who need traveler details to confirm your booking

We may also disclose information if the law requires it, to protect our rights or the safety of others, or as part of a sale or restructuring of the business. We may share information that has been combined or de-identified so that it no longer identifies you.

05

Travel bookings

If we book travel for you, suppliers may need traveler names exactly as shown on government ID, dates of birth, passport details, loyalty numbers, and accessibility or dietary needs. We will tell you how to send these securely at the time, and we share them only with the suppliers who need them for your booking. Suppliers handle that information under their own privacy policies.

Supplier payments for a travel program work differently from our other payments. Where we pay a supplier on your behalf, we use a payment card you authorize in writing through a secure authorization form, and the charge appears on your statement from the supplier. We will never ask for card details by email, text message or screenshot, and we will not accept them that way. Under the LMS Travel Group Terms, passport numbers, dates of birth, and health-related information are deleted within ninety days of your return.

06

Client projects and your own customers' data

When we build systems for a client, we work inside the client's own accounts wherever possible, and the client's customer data stays in the client's tools. We do not copy client customer lists into our own systems to test, and we use fake data for testing. The signed service agreement for each project governs that work.

07

Email and unsubscribing

If you receive marketing email from us, every message includes a way to unsubscribe, or you can email leeann@lmscollectives.com and ask to be removed. We will still send service messages related to work you have hired us to do.

08

How long we keep information

We keep information for as long as it is needed for the purpose we collected it, and then delete or de-identify it. Inquiries and email list entries are kept until you ask us to remove them or they are no longer useful. Contracts, invoices, and payment records are kept as long as tax, accounting, and legal rules require.

09

Your choices and rights

You can ask us to tell you what personal information we hold about you, correct it, or delete it, and you can opt out of marketing email at any time. Email leeann@lmscollectives.com and we will respond within a reasonable time. We may need to verify your identity first, and we may keep some records where the law requires it. Depending on where you live, you may have additional rights under your local privacy law, and we will honor requests that the law requires us to honor.

10

Cookies

Our Cookie Policy explains what cookies and similar technologies are involved when you use the Site and the third-party services it links to.

11

Security

We use reasonable administrative and technical safeguards, including access controls on our business tools. No website or system is completely secure, so we cannot guarantee absolute security. If you believe your information has been compromised, tell us right away.

12

Children

The Site and our services are for businesses and adults. We do not knowingly collect personal information from children under 13. If you believe a child has sent us information, email us and we will delete it.

13

Where information is processed

We are based in the United States, and our service providers may process information in the United States and other countries. By using the Site, you understand that your information may be transferred to and handled in those places.

15

Changes and contact

We may update this policy from time to time. When we do, we will change the "Last updated" date at the top of this page. If a change is significant, we will make that clear on the Site.
